For the European Medicines Agency we are looking for a Procurement and Contract Management Coordinator in the office of Procurement and Financial Support responsible for:


  • Contribution to the sound management of procurement and contract management activities, for various areas such as facilities, human resources, business consultancy or IT, ensuring success of commercial operations by capturing vendor performance, supporting the service with tactical aspects of procurement and contracts implementation for either EMA or inter-institutional contracts. 

Responsibilities:


  • Provide advice on the implementation of contract management and procurement rules in line with the Agency’s policies and procedures;
  • Assist in solving problems arising in procurement and contract management;
  • Prepare procurement and contract documentation, and provide support, advice and guidance with the preparation and drafting of tender documents and contracts;
  • Coordinate the development and implementation of procurement policies/procedures;
  • Develop and update templates, guidelines and training activities on procurement rules and procedures;
  • Assist in daily procurement and contract management administrative tasks supporting the preparation and implementation of calls for tenders and/or proposals;
  • Provide support on more complex procurement procedures and contract management;
  • Act as focal point for contractual aspects of implementation of other EMA contracts for the relevant portfolio;
  • Initiate and follow up the relevant financial procedures and assist with price analysis and financial reports and other data to determine reasonableness of prices;
  • Contribute to the service planning and activities and support in the continuous improvement of relevant processes and procedures;
  • Ensure compliance with the Agency’s policies and procedures, in line with legal requirements;
  • Work on process improvement initiatives and support the Service Digitalization efforts.

Wat vragen wij?

  • Required: A level of post-secondary education attested by a diploma,
  • or a level of secondary education attested by a diploma giving access to post-secondary education, and appropriate professional experience of at least three years;


Jouw profiel:


Essential requirements:


  • 6 years from the time when a post-secondary education diploma was awarded;
  • Expereince in applying different sourcing arrangements and contractual models, to deliver services to a business environment;
  • Expereince in applying the financial regulations and the vade-mecum on public procurement applicable to the European Commission and other EU institutions/agencies;
  • Expereince with Enterprise Resource Planning (ERP) tools such as SAP FIN or HR modules.


Skills & Knowledge


  • Drafting skills and ability to prepare concise and effective reports/written documentation;
  • Project and process management skills; 
  • Proficiency in Microsoft Excel.
  • Knowledge In financial management and reporting;
  • Knowledge in IT financial and/or human resourcing tools.

Wat bieden wij:


A fulltime, temporary job from 02-12-2024 until 15-03-2025 (contract extention is possible);

Salary range:

  • 4940,92 gross per month (6 years of experience,
  • 5148,58 gross per month (8 years of experience)
